Senior Assistant to Head of Legal/Corporate Governance

Your responsibilities:

Administrative part

  • Calendar management (planning, update, anticipating and solving agenda conflicts)
  • Business Travel planning and arrangements for the whole legal team (hotels, flight tickets, transfers, visas, conferences . . . )
  • Processing of the leader’s Business expenses, support for the team
  • Planning and organization of team meetings/events, internal & external meetings/events, trainings, TCs, VTCs
  • Book meeting facilities and prepare meeting documents; create/compile presentations
  • Support leader and the team with various admin tasks, usage of internal systems (placing orders, manage invoices, Workday etc.)
  • Agenda coordination with other leaders of Zentiva management team and within the team
  • Daily cooperation with other Departments, Zentiva affiliates
  • Provide support and arrange logistics for visitors from other affiliates coming to Prague
  • Handle emails, mail, phone calls, ensure document signatures and translations
  • Assist newcomers with onboarding
  • Build and maintain relationship with other Senior Assistants

Administrative legal part

  • Contracts validations and contractual validation tool management
  • Litigations and other administrative proceedings management
  • Preparation and evidence of powers of attorney
  • Management of notarizations, apostilles and legalizations
  • Communication with courts, notaries public, police, other authorities
  • Support to auditors, audit requests to law firms
  • Preparation of other simple legal documents

Corporate governance

  • Maintaining and updating governance framework for Zentiva group of companies
  • Monitoring and follow up of compliance with the governance framework at Zentiva HQ and in the countries
  • Organization and/or coordination committees and statutory bodies’ meetings
  • Provision of information to statutory bodies
  • Initiation and/or preparation of statutory bodies’ decisions and minutes
  • Ensure filings with the respective authorities (e.g. Company’s registers)
  • Communication with minority shareholders

We require:

  • High School / University degree (can be substituted by experience in a similar position)
  • Minimum 5-7 years of experience as executive assistant or team assistant from a large company
  • Excellent knowledge of Czech and English
  • Excellent PC skills (Word, Excel, PowerPoint, Outlook, internet)
  • Personal executive stance adapted for VP
  • Excellent communication and organizational skills, strong attention to detail, speed of execution
  • Kind personality, positive approach, vigorous and ambitious
  • Ability to work both independently and as a team
  • Ability to adapt to changes, proactivity and flexibility in dealing with priorities
  • Confidentiality, tact, diplomacy
  • Ability to cope with pressure and occasional stress
  • Flexibility in working hours
